FileHound E-mail Alerts - Powered by SendGrid SMTP Solution

Modified on Fri, 16 Feb 2024 at 03:55 PM

FileHound Document Management has adopted SendGrid as its cloud-based SMTP provider for all email communication services, from managing password reset requests to sharing secure document links via email. SendGrid's email delivery and API service enable FileHound to send emails using the most up-to-date industry-standard security and encryption protocols, approaches, and methodologies.

SendGrid operates within FileHound as a secure Email API service. When FileHound receives a new email request, it "calls" the SendGrid service and starts a secure workflow that passes the required information to SendGrid for processing. This ensures that email requests from FileHound pass all necessary industry-standard checks and security boundaries before the email can be sent encrypted to the recipient.

This has added benefits for both FileHound and the email recipient. In both cases, the email is sent using Opportunistic Transport Layer Security (TLS) methods, meaning that the email will communicate via the highest level of TLS security available first, which is currently version 1.3. This prevents bad actors using passive surveillance devices along the way from viewing the email content.

If the SMTP server receiving the email does not accept this level of encryption, SendGrid will automatically scale down to TLS v1.2 and try again, with each subsequent TLS version should this also fail to send.

Another benefit of using SendGrid is that the FileHound support team can view the status of all emails sent using SendGrid from a dashboard, including a live update on the email if there is a potential problem. This enables the team to diagnose and fix any email problems quickly while also viewing logs for a more in-depth view if required.

In summary, the adoption of SendGrid by FileHound Document Management has enhanced the security of their email communication process by utilising the latest industry-standard security and encryption protocols. Additionally, it allows the FileHound support team to monitor the status of all emails sent via a dashboard, providing quick and efficient solutions to any potential email problems.
