FileHound Export Utility

The FileHound Export Utility allows FileHound Administrators the ability to run a secure document and data extraction tasks for alternative back-up and recovery purposes. This application will download all documents and/or meta data saved in FileHound based on the filters you choose. The metadata will be exported in both JSON and XML formats.


IMPORTANT:

  • Access to the FileHound Export Utility is by request only via FileHound support.

  • Only FileHound administrators can configure and run data extraction tasks. 

  • Disclaimer: By exporting your documents from FileHound, these become your full responsibility. If for example; you export your documents and data from FileHound but then delete your export and those documents from your FileHound, the FileHound product and associated services cannot be held accountable for any data loss or damage. 

PREREQUISITES 


Minimum Hardware Specs and Operating System

  • 2 core CPU

  • 4GB of Ram

  • OS Microsoft Windows 8 or above

Internet connection 

  • The FileHound Export Utility requires a fast secure broadband internet connection to run effectively.  



HOW DOES IT WORK?


STEP ONE: Once you have downloaded and ran the FileHound Export Utility. You will be presented with a log in screen. To log in, simply enter your ClientID and Secret.




STEP TWO: Select the document types you wish to export by ticking the necessary boxes. Then click NEXT




STEP THREE: Next, select what Data Format and Export Destination for your data. You can either choose to export the physical Documents & Indexing Data or the Indexing Data alone (XML & JSON). Once you have done this, click NEXT




NOTE: 

You will be presented with this Loading screen while the FileHound Export Utility connects to your selected documents and data.



STEP FOUR: Next, you will see a summary of your Data Export. You will not be able to progress with your export unless you have confirmed each check box. 



IMPORTANT:

Depending on the volume of data that you are exporting from FileHound, please make sure that you have enough space at your selected File Directory

STEP FIVE: After reviewing and selecting each check box click CONFIRM




STEP SIX: Lastly, you will see an Export Progress bar to show you how long is left in your export. Once this has reached 100%, click FINISH. You will now have your FileHound Data Export in the destination that you have chosen.


NOTE: 

If you are exporting a large volume of documents and data, it is safe for you to leave the export running while it exports your documents and data. It should take around 5 hours to export a 100k dataset with files and metadata.



BACK IN FILEHOUND 


An audit trail of your export will be logged against all documents and data you export using the FileHound Export Utility and displayed in the document Audit History.






BEST PRACTICE & TROUBLESHOOTING


Can I close the tool while exporting?

The FileHound Export Utility needs to remain open and running until the export process is complete. If the Utility is closed or shuts down for any reason, the export may need to be started again. 


What if I need to reset the tool between testing?

If you feel the need to ‘reset’ the tool between testing, we recommend deleting the SQL Lite database located in the application directory, alongside the application .exe file. This SQL Lite DB is created when the app is first run. Deleting this data.db file will safely reset the application to its ‘base state’.
