FileHound’s workflow functionality can be configured for a range of tasks from simply notifying you when a new document matching a predefined criteria is added onto the system or moving a file to a specific folder based on the data contained in its index information, right up to complex processes of multilevel authorisation and validation of invoices.
HOW DOES IT WORK?
To provide an example, let's take the process of a standard business invoice;
The submitter user uploads an invoice to their inbox and opens the indexing pane. Then they select the Supplier Invoice Document Type in which the workflow is attached to.
To specify which workflow it will run through, the Cost Category must be chosen.
At the end of indexing the document, it will automatically assign the document to the correct user of the Cost Category chosen or the submitter user can manually choose who to assign it to.
The Approver user will receive an email notification stating that they have an invoice in need of approval. When log in to FileHound, they will also have a notification for that document which they can open right from the notification pane. The Approver user will see a task bar above the document with two options; Approve or Cancel. If they decide to cancel this request, it will go back to the Submitter users inbox. If they approve, it will be moved for payment.
